Which webshop platforms does SendPol support?

Why do I need SendPol for my webshop?

What exactly is Peppol?

Peppol (Pan-European Public Procurement On-Line) is an international network for exchanging structured electronic business documents — primarily invoices, credit notes and purchase orders. Companies connected to Peppol can send each other e-invoices in a standardised UBL format, regardless of which software they use. Peppol is governed by OpenPeppol AISBL and is active in more than 35 countries.

Is Peppol mandatory in Belgium from 2026?

Yes. From 1 January 2026, all Belgian companies are required to send and receive structured B2B e-invoices via Peppol. The measure is set out in the Royal Decree of 19 December 2023, the Belgian implementation of the European e-invoicing directive (EN 16931). Penalties go up to €5,000 for repeated violations. After that date, PDF invoices between businesses are no longer legally sufficient.

What is the difference between Peppol and Mercurius?

Mercurius is the Belgian federal platform on which government bodies receive electronic invoices — it has been running on Peppol infrastructure since 2017. Peppol is the international network underneath; Mercurius is essentially one specific Peppol connection for the public sector. From 2026, Peppol also becomes mandatory for B2B invoices between private companies; the existing Mercurius connection for public procurement keeps working as before.

What is a Peppol Access Point?

A Peppol Access Point is a certified service provider that places your e-invoices on the Peppol network and receives them on your behalf. You don't connect to Peppol directly — you always go through an Access Point, which handles OpenPeppol certification and the technical SBDH protocol for you. SendPol connects your webshop to one of these Access Points so you can send Peppol-compliant invoices without any technical knowledge.

How do I know if my customer can receive via Peppol?

SendPol checks this automatically based on the customer's VAT number: for every invoice, a lookup is performed against the Peppol Service Metadata Publisher (SMP) registry to see whether the recipient is on the network. If they are, the invoice goes out via Peppol; if not, you fall back to a PDF email. From 1 January 2026, all Belgian companies are mandatorily connected, so this becomes the default.

Which countries support Peppol?

Peppol is active in more than 35 countries, with the highest adoption in Europe (Belgium, the Netherlands, Germany, France, Italy, all Scandinavian countries, the United Kingdom and Ireland) and growing presence in Asia-Pacific (Australia, New Zealand, Singapore, Japan) and North America. If your overseas customer has a Peppol Participant ID, you can invoice them electronically across borders too.

How does SendPol work with WordPress/WooCommerce?

Our WordPress plugin fully integrates with WooCommerce. You install the plugin, connect it with SendPol via your unique API token, and configure your Peppol settings. All B2B orders are automatically sent as UBL e-invoices via the Peppol network and all invoices appear in your dashboard. Private customers receive their normal invoice.

How does SendPol work with Shopify?

Our Shopify app seamlessly integrates with your existing workflow. Install the app from the Shopify App Store, configure your company details, and SendPol automatically detects B2B customers for Peppol e-invoicing.

Does SendPol support Drupal Commerce?

Does SendPol support Ecwid (by Lightspeed)?

Yes — our Ecwid app installs directly from the Ecwid App Market. After a few clicks your store is connected to SendPol and Peppol e-invoices are sent automatically for B2B orders. No separate API configuration needed — the connection runs over OAuth.

How does SendPol recognize business vs. private customers?

SendPol automatically detects if an order is from a business based on VAT number validation. You can also manually set customer types. Only business customers receive Peppol e-invoices; private customers get normal invoices.

What happens to my existing invoicing process?

Your existing process largely remains the same. SendPol only adds the Peppol e-invoice for B2B customers. You can still send PDF invoices as backup, but the UBL e-invoice via Peppol is the legally valid invoice.

How about VAT calculations and rounding?

SendPol follows the new rules from the Royal Decree: VAT is rounded per rate (not per line). Our software applies this automatically so your e-invoices are compliant and match your customer's expectations.

Is SendPol secure and reliable?

Yes, SendPol uses the official Peppol network via certified Access Points. All communication is encrypted and complies with European privacy and security standards. Your customer data remains fully with you.

Can I attach my own PDF invoice alongside the Peppol e-invoice?

Yes. Alongside the legally valid UBL XML, you can include your own PDF (for example, your branded invoice layout) as an attachment in the same Peppol message. SendPol embeds the PDF inside the UBL document according to the Peppol BIS 3.0 spec, so your customer receives both the machine-readable file and a human-readable version. Plugin-based integrations supply the PDF automatically from your webshop; via the REST API you can pass the PDF along in the submit call.

Does SendPol support credit notes?

Yes — SendPol sends credit notes (UBL CreditNote) fully compliant with Peppol BIS 3.0, the standard format for refunds and corrections to a prior invoice. A refund or return in your webshop is automatically converted into a Peppol credit note that reaches the same customer over the Peppol network. In your dashboard, credit notes appear next to invoices and are included in ZIP exports.

What are the ways to get my documents out of SendPol?

SendPol offers three ways to receive your Peppol documents (UBL invoices, credit notes): (1) automatically via webhooks for integrations with your own system, (2) by email as a ZIP file after an export request, or (3) manually downloading individual documents in My account → Documents.

How do I export multiple documents at once as a ZIP?

Go to My account → Documents and click 'Export documents'. Select the start and end date, webshop and document type (invoices and/or credit notes). Enter the email address where you want to receive the export and click Export. The export is processed in the background — you will receive an email with a download link to the ZIP file containing UBL XML files. For large volumes this may take a few minutes. Tip: export regularly, as documents are only available in your dashboard for a limited time depending on your plan.

How do I receive documents automatically via webhooks?

Configure a webhook URL per webshop via My account → Webshops. When a document is ready (e.g. sent via Peppol), SendPol automatically sends a POST request to your endpoint with the document data. Ideal for integrations with ERP, accounting software or other applications.

How do I download an individual document?

Go to My account → Documents, filter or search by date, webshop or customer, open the document and download the UBL file or PDF. Useful for ad-hoc checks or fetching a single specific invoice.

Why am I getting API key errors with my webshop?

A webshop must be active to function correctly. If your webshop is not active, this can lead to API key errors. Check in your dashboard if the webshop status is set to 'Active'. If not, reactivate the webshop or contact support.

Does my API key work when the webshop status is Inactive?

No. As long as your webshop status is 'Inactive', all incoming API calls are rejected — even with a valid API key. A webshop can become inactive in two ways: you disabled it yourself via the 'Active' toggle in the webshop modal, or required details are missing (VAT number, company address, contact person, invoice language) and the webshop was automatically deactivated. Fill in the missing fields via My Account → Webshops and turn the 'Active' toggle on to reactivate the webshop.

How do I activate a webshop?

Open the webshop via My Account → Webshops and turn the 'Active' toggle on in the webshop modal — while the webshop is inactive, every API call against its key is rejected. Note: if any required details are missing (typically VAT number, company address and invoice language), the webshop is automatically set back to inactive on save. Fill in those fields first. Tip: once your KYC check is approved, your webshop is activated automatically — you don't need to flip the toggle yourself.

Why does my document stay in 'validation' status?

A document stays in validation when the KYC check has not been completed or when test mode is on. The cause is almost always one of those two. Complete the KYC procedure under My account → Webshops and disable test mode to actually deliver documents via Peppol.

How long are my documents available in SendPol?

Document availability in your dashboard depends on your plan: Start (1 month), Solo (2 months), Grow (3 months), Agency (4 months), Enterprise (custom). Export your documents regularly as a ZIP file to keep your own copy. Note: the legal retention period for accounting documents in Belgium is 7 years — as a business owner you are responsible for keeping them for that period.

How does the SendPol Stripe integration work?

The SendPol Stripe App enables you to send invoices from Stripe directly via the Peppol network. The app works directly from the Stripe Dashboard on the invoice detail page. With one click, you can send Stripe invoices to Peppol, track the processing status (Created, Validated, Sent via Peppol), and download the generated UBL invoice.

What is a KYC check and why is it mandatory?

KYC stands for "Know Your Customer". For SendPol, it is a verification of your company and its legal representative confirming that the webshop actually belongs to your business. The Peppol network only allows verified senders — without a completed KYC check, your documents stay in test mode and are not actually sent via Peppol.

How do I request a KYC check for my webshop?

You request a KYC check from your SendPol account in five steps. Average turnaround is 1–2 business days. 1. Log in to your SendPol account and go to My account → Webshops. 2. Open the webshop you want to verify and confirm that the VAT number is filled in correctly — you cannot start KYC without a valid VAT number. 3. Click "Upload KYC Document", select the document type (company registration certificate and identity card) and upload the file. Repeat until all required documents are in place. 4. Once every document is uploaded, the "Request KYC Check" button appears. Click it to submit your file to our compliance team for review. 5. Track the status from the Webshops overview: from "KYC Pending" to "KYC Check In Progress" to "KYC Verified".

Which documents do I need for the KYC check?

Two documents per webshop: (1) a recent company registration extract (KBO/CBE excerpt) of the business operating the webshop, and (2) a legible copy or scan of the legal representative's identity card (front and back). Make sure the company name and VAT number on the registration extract match the details you entered in SendPol — otherwise the file is returned for correction.

How long does it take for my KYC check to be approved?

In most cases your KYC check is completed within 1–2 business days after submission. If documents are missing or unreadable we contact you by email to complete the file, which may extend the lead time. While the check is in progress the status is "KYC Check In Progress" and uploading new documents is temporarily disabled to avoid duplicate submissions.

What do the different KYC statuses mean?

Three statuses: (1) "KYC Pending" — you have not submitted a request yet; upload your documents and click "Request KYC Check". (2) "KYC Check In Progress" — your request is queued with our compliance team. (3) "KYC Verified" — your webshop can send documents through Peppol once test mode is turned off. As long as the status is not "Verified", documents remain in validation status and are not actually transmitted.

Why can't I change the VAT number anymore after the KYC check?

After a successful KYC check the VAT number on the webshop is locked because it is part of the verified identity. Changing it would mean the verification is no longer accurate and would have to be redone. If the number truly no longer applies (e.g. after an acquisition or merger), contact support — we will then start a new KYC procedure for the updated details.
